Privacy Notice for Interim Ministers and Transitions Ministers (IM/TM) CPD Event
The Church of Scotland's Faith Nurture Department is providing you with this information to comply with data protection law and to ensure that you are fully informed and we are transparent in how we collect and use your personal data.
Who is collecting the information?
The Church of Scotland's Faith Nurture Department is the Data Controller. We have an appointed Data Protection Officer (DPO), Alice O'Sullivan, who can be contacted by emailing: Privacy@churchofscotland.org.uk
Why are we collecting it and what are we doing with it (Purpose)?
We are collecting data for the administration of the upcoming Interim Ministers and Transitions Ministers (IM/TM) CPD Event taking place at the Pitbauchlie House Hotel on July 6 and 7, in order to make hotel bookings and ensure that dietary and special requirements are catered for.
What personal data do we collect?
We will be collecting names, email addresses and dietary requirements as well as any further special requirements.
The hotel will also know that you are church ministers as they know the event is a ministers training event, so special category data, ie religious beliefs, is processed. Any dietary and special requirements as with religious beliefs will be special category data. However additional safeguards are in place to protect this data accordingly.
How are we collecting this information? What is the source?
The information is collected directly from the individual and central church records.
The lawful basis for the processing
The lawful basis for processing data for this training event is UK GDPR Article 6(1)(b) "processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract" In relation to processing of special category data, the lawful basis is Article 9(2)(b) "processing is necessary for the purposes of carrying out the obligations and exercising specific rights of the controller or of the data subject in the field of employment and social security and social protection law in so far as it is authorised by domestic law or a collective agreement pursuant to domestic law providing for appropriate safeguards for the fundamental rights and the interests of the data subject"
Who we share the information with:
Data will be shared with the Pitbauchlie House Hotel, Dunfermline as this is where the event is being held and where overnight stay will take place. An appropriate contract is in place with the hotel and they will only act on instructions from the Church or if required by law, for example in an emergency at the hotel they have a legal duty to ensure any residents are safe.
Details of data transfers to any third countries or international organisations
This does not apply for this processing activity.
How long do we hold the personal data?
The personal data is held on church records due to your employment with the church. Following the end of employment, the records will be held for 25 years and then securely destroyed following church procedures.
Do we use automated decision making processes, including profiling?
The Church does not process data in this way.

Under data protection laws, Individuals have a number of rights these are detailed here. Not all rights are absolute and some only apply in relation to the lawful basis for processing. For this purpose, the only right that does not apply is the Right to Object. All other rights apply.
