Privacy Notice 2024 General Election Information Sessions
The Church of Scotland Public Life and Social Justice Team of Faith Action is providing you with this information to comply with data protection law and to ensure that you are fully informed and we are transparent in how we collect and use your personal data.
Who is collecting the information?
The Church of Scotland Public Life and Social Justice Team of Faith Action is the Data Controller. We have an appointed Data Protection Officer (DPO), Alice Wilson, who can be contacted by emailing: Privacy@churchofscotland.org.uk
Why are we collecting it and what are we doing with it (Purpose)?
We are running General Election Information Sessions to support congregations and presbyteries by presenting information and providing a ‘Question and Answer' session about how churches can prepare for the General Election. The purpose is to fulfil our objective to equip congregations with the information they need for public life and social justice work, for example informing their congregations about the General Election, ensuring people are registered to vote and that everyone has the correct voter ID to comply with the law change, and to enable and encourage congregations to host hustings events to engage their communities with their candidates and key issues. These information sessions will be run on Microsoft (MS) Teams.
Your Personal Data
Your name and email address are collected. If you have a Teams account, Teams also collects this data when you join a meeting. This data will be included during the Teams meeting. However, this is only during the meeting so that you can access anything written in the chat box. The name of any individual who joins the sessions on Teams will have their name appear on the Teams meeting participants list and on the chat. If they have an account on Teams they could be contacted through Teams by others who have access to the chat.
Participants do not need to register to attend this event and as such no personal details will be collected as part of any registration process.
The Church of Scotland Public Life and Social Justice Team of Faith Action will not store your personal data following the meeting, and the Teams chat (where some people's names will appear) will be fully deleted after the meeting ends.
Participants will be offered the opportunity for further contact with the Public Life and Social Justice Team on this and related issues. Participants must opt in to this communication by emailing dbradwell@churchofscotland.org.uk. This data will be held by the Public Life and Social Justice team securely on the Church of Scotland internal servers and reviewed after a period of 3 years.
The lawful basis for processing
The lawful basis for processing this is UK GDPR Article 6(1)(a) "the data subject has given consent to the processing of his or her personal data for one or more specific purposes."
Who we share your personal data with
As we use Teams and Outlook for the organisation and running of these events, Microsoft are a processor. There is an appropriate contract in place. They only process the personal data on the Church's instructions.
We do not share any personal data with any third parties.
How are we collecting this information? What is the source?
We will invite our contacts within the Church of Scotland and ask Presbytery representatives to forward the invitations to people in congregations who have signed up to relevant committees or groups within the presbyteries to receive this type of information. Presbytery Officers may put the meeting link into a presbytery newsletter as well. We will send invitations by email to people who are already on our contact lists and have given us permission to contact them for relevant issues, for example the people who attended Net Zero Presbytery events, as Net Zero will be an issue for the election and they may wish to run hustings etc.
How long do we hold the personal data?
The personal data will be deleted immediately at the end of the Teams meeting. We will not hold a record of who attended the meetings.
If you do email dbradwell@churchofscotland.org.uk to be added to the Public Life and Social Justice Team contacts list for further communications on these issues, your data will be held for three years.
Individuals' rights in relation to this processing
Individuals have a number of rights under data protection laws. These are detailed in the here. Not all rights are absolute and some only apply in relation to the lawful basis for processing. For this purpose, the only right that does not apply is the Right to Object. All other rights apply. Please note as the lawful basis for processing is consent, it's important to note that you can withdraw your consent at any time, without detriment to you, this is achieved by contacting faithaction@churchofscotland.org.uk who will process your request accordingly.
